Scheduling District Facilities

Facility scheduling for District 858 is coordinated through the Community Education Office.

The District Facilities Calendar provides a current schedule of facility reservations, school activities, and community events taking place in District 858 facilities.

Before submitting a facility request, users are encouraged to review the calendar Facilities Calendar to determine whether their preferred date, time, and location may already be reserved. While the calendar reflects the most current information available, submitting a request does not guarantee facility availability. Reservations are confirmed only after approval by the Community Education Office and completion of all required facility use documentation.

Before submitting a facility request, please review the district’s facility use policies, user classifications, and applicable fees to ensure you understand the expectations and requirements 902- Use of District Facilities and Equipment. Once you have reviewed this information, complete and submit the online Facilities Request Form.

The following requirements apply to all facility requests:

• A single primary contact person must be designated for each organization or group. This individual will be responsible for submitting facility requests, receiving communications, and receiving monthly invoices.
• Facility requests must be submitted at least 10 days prior to the requested date of use.
• Each user group must provide proof of liability insurance with minimum coverage of $500,000. A current certificate of insurance should be submitted with the facility request and is valid for one year unless otherwise noted.

·        Once a facility request has been approved, the primary contact will receive a facility use confirmation. Before the reservation is finalized, the primary contact must complete the St. Charles Public Schools Facility Use Agreement form, and submit any required insurance documentation or other requested materials. Users should have a copy of the facility use confirmation available during their scheduled use of the facility.
